The Associate Director of Admissions Operations supervises the operational staff and processes supporting Undergraduate Admissions. The incumbent provides vision, leadership and organizational guidance to manage Undergraduate Admissions operations. In conjunction with the Director of Admissions Operations and Technology, the incumbent assists with planning short-term and long-term strategic initiatives around operational support, with an eye towards improving business practices and streamlining document processing, record management and applicant correspondence while supporting operational initiatives as led by the senior leadership of Undergraduate Admissions.. Responsibilities. + Manage and facilitate the process and staff by which the yearly 45,000+ applications and materials for admission and financial aid are submitted, tracked, completed and distributed to readers for decisions. Ensure timely and accurate entry of supporting credentials.. + Supervise and hire operations staff including administrative, clerical, part-time and work-study personnel. Continually plan and forecast resource usage in order to project needs for staffing for smooth operations. Oversee data entry staff to insure integrity of data input and ensure accurate creation and maintenance of student records. Assist with and execute operations-related quality control tasks and troubleshooting.. + Administer continuous training for operations staff to enhance knowledge of software applications and emerging technology. Develop and maintain an archive of training materials and reference guides for end users, a procedures manual for staff and documentation of policies and workflow protocols.. + Supervise intake of thousands of pieces of mail annually. Work collaboratively with other admissions staff members on special projects throughout the year, including yield events. Oversee postal decision and yield mailings.. + Manage the Enrollment Group public email accounts (ugrad-ask, ugrad-confirm) and oversee training, support and implementation of outgoing email responses.. + Oversee staff development and training for the Operations staff.. + Assist departments outside of the Enrollment Group with their use of the document imaging system as well as the use of the Student Information System.. + Perform other related duties as required.. Minimum Qualifications. + Bachelor's degree or equivalent required.. + Minimum of 3-5 years of relevant experience required.. + Supervisory experience required.
