Essential Duties and Responsibilities:

Applications and Process Support:

  • Log incoming quote and sample printing requests into the system (Applications Quote Log & Process schedule) if accompanied by the proper paperwork. This includes the processing of incoming product delivered to the applications cart in the shipping area.
  • In response to quote requests configure, construct, and issue quotes for standard (non-automation) products.
  • Monitor and report on equipment related payments.
  • For process requests, create bin with label and deliver to the Process Manager for review.
  • Process incoming purchase orders. Flip quote to a sales order, create job(s), create SO Acknowledgment, solicit invoices from accounting and send to the customer.
  • When a sample print job is completed, update the system and send parts, report and letter back to customer or field sales.
  • Review shipping details, complete jobs, and sales orders accordingly. Close all jobs monthly for equipment orders / jobs.

Service Support:

  • Log incoming requests and forward to service manager for review.
  • Research travel costs as necessary, create formal quote based on submitted quote worksheet and send to customer or field sales.
  • Process incoming service purchase orders. Flip quote to a sales order, create job(s), create Sales Order Acknowledgment and send to customer.
  • Book technician travel arrangements and change as necessary based on Technician or Service Manager s guidance.
  • Check technician expense reports for accuracy and forward to Service Manager for approval.
  • File service reports and follow-up with customers.
  • Complete jobs and sales orders accordingly.

Sales Support

  • Review, log, and coordinate all requests for Non-Disclosure agreements and other legal documents with ITW legal as required (for IDS)
  • Assist NA Sales Manager as needed in terms of reporting and tracking of sales activity
  • Coordinate lunches / events and maintain adequate stock levels and management of the customer cafeteria.

Non Essential Functions: Expected to perform other duties as necessary, required or directed. Act as a floating resource to support other groups periodically (customer service, accounting, etc.)

Position relationships: Contact with most employees within the equipment and sales groups.

Language Skills: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers.

Mathematical Skills: Basic Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.


Knowledge/Experience & Qualifications:

  • HS. Diploma or GED.
  • Four to Five years administrative support experience including regular customer phone contact/customer service experience. Ideally in a sales support/sales department.
  • Advanced PC skills including use of Windows, MS Office (Word, Excel, Outlook). Contact Management software experience a plus.
  • Excellent communication and customer service skills required.

Physical Requirements: Regularly required to communicate by telephone and in person. Spends majority of time sitting. Occasionally needs to walk or stand. May occasionally need to lift up to 20 lbs.

Other Requirements: Personal computer literacy/experience, including proficient skills in Microsoft Excel, Outlook, Word and computerized CRM and MRP systems. Excellent verbal and written communication skills
