Responsibilities

Essential Job Functions:

  • Coordinates activities associated with personal and corporate taxes; communicates with internal and external accountants; maintains confidential electronic and paper files.
  • Personal and office assistant duties to include, but not limited to, greeting visitors, opening and distributing mail, sending overnight packages, ordering supplies, arranging lunches, etc.
  • Process invoices and expense reports.
  • Responsible for arranging internal and external meetings. Assists in the planning of meetings and prepares materials for presentation.
  • Stays knowledgeable of companys top clients and maintains contact information for key client relationships.
  • Arrange travel and logistics, keeps Shareholders current with information needed while travelling.
  • Administrative support including editing, composing and finalizing both internal and external memos and correspondence.
  • Administrative support as required for the companys shareholders meetings.
  • Establishes and maintains confidential files and records; releases documents or other information requiring the use of discretion as to the nature and extent of distribution.
  • Promotes effective time management when handling schedules through meeting scheduling, answering and screening telephone and incoming mail.
  • Performs other related duties as assigned always maintaining the highest level of confidentiality.
  • Qualifications

    Requirements:

  • Degree in Business Administration or related field is preferred
  • Minimum of 10 years of experience as an executive assistant
  • 3 years tax and accounting experience
